Account Information

When you create a board, we collect your chosen Department ID, selected subscription plan, and contact email address. This information is used to identify your account and communicate with you about your subscription.

Operational Content

We store the content you enter into the Service, including station names, apparatus names, out-of-service notices, and operational notes. This content is accessible to anyone who knows your Department ID.

Contact Form Submissions

If you submit a message through our Contact Us form, we collect your name, email address or Department ID, and the content of your message.

Usage Data

We collect basic usage data including page views and general interaction patterns to understand how the Service is used and to improve it. This data is aggregated and not linked to individual users.

3. How We Use Your Information

We use the information we collect for the following purposes:

  • To provide, maintain, and improve the Service
  • To process subscription changes and send verification emails
  • To respond to contact form submissions and support requests
  • To send operational notifications about your account (trial expiry, plan changes)
  • To detect and prevent fraud, abuse, or violations of our Terms of Service
  • To comply with applicable legal obligations

We do not sell, rent, or share your personal information with third parties for marketing purposes.

4. Data Access and Security

Your board's operational content is accessible to anyone who knows your Department ID. Because the Service uses a shared-access model without individual user accounts, you are responsible for controlling who has access to your Department ID. We recommend treating your Department ID as a shared credential and choosing one that is not easily guessable.

We implement reasonable technical and organizational measures to protect the information stored in the Service against unauthorized access, alteration, disclosure, or destruction. However, no method of transmission over the internet or electronic storage is 100% secure.

5. Data Retention

We retain your account information and operational content for as long as your account is active or as needed to provide the Service. If your account is terminated or remains inactive and unpaid for an extended period, we may delete your data after providing reasonable advance notice to your contact email. Contact form submissions are retained for a reasonable period to allow for follow-up.

6. Cookies and Local Storage

The Service uses browser local storage to remember your Department ID between sessions when you choose the "Remember me" option. We do not use third-party tracking cookies or advertising cookies. Basic session functionality may use cookies to maintain your browsing session.

7. Children's Privacy

The Service is intended for use by fire departments and emergency services organizations and is not directed at children under the age of 13. We do not knowingly collect personal information from children under 13.

8. Your Rights

You have the right to request access to, correction of, or deletion of the personal information we hold about you. To exercise these rights, please contact us through the Contact Us page. We will respond to your request within a reasonable timeframe.

9. Changes to This Policy

We may update this Privacy Policy from time to time. We will notify you of significant changes by updating the "Last updated" date at the top of this page and, where appropriate, by notifying the contact email associated with your account. Continued use of the Service after changes become effective constitutes acceptance of the revised policy.
